By accessing and using RentForms (the "Service"), you accept and agree to be bound by the terms and provisions of this agreement. In addition, when using this Service, you shall be subject to any posted guidelines or rules applicable to such services. Any participation in this Service will constitute acceptance of this agreement.

2. Description of Service

RentForms is a web application designed to help landlords efficiently screen and select prospective tenants before scheduling in-person property visits. The Service allows you to:

• Create and customize rental application forms for your properties
• Share form links with prospective tenants via rental advertisements
• Collect and review tenant applications through your dashboard
• Manage applicant status and communications

3. User Responsibilities

You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You agree to:

• Use the Service only for lawful purposes and in accordance with these Terms
• Maintain accurate and up-to-date account information
• Notify us immediately of any unauthorized access to your account
• Comply with all applicable housing laws and regulations in your jurisdiction

4. Fair Housing Compliance

You must comply with all applicable fair housing laws, including but not limited to the Fair Housing Act. Discrimination based on race, color, national origin, religion, sex, familial status, or disability is strictly prohibited.

RentForms is a tool to facilitate the rental application process. You are solely responsible for ensuring your use of the Service complies with all applicable federal, state, and local housing laws and regulations.

5. Prohibited Uses

You agree not to use the Service for any of the following purposes:

• Discriminatory practices prohibited by fair housing laws
• Collecting personal information for purposes other than legitimate tenant screening
• Spamming, phishing, or sending unsolicited communications
• Any illegal or unauthorized purpose
• Attempting to gain unauthorized access to the Service or its related systems
• Interfering with or disrupting the Service or servers or networks

6. Payment Terms and Billing

RentForms offers flexible payment options to suit your needs. By purchasing any plan or credits, you agree to the following terms:

Subscription Plans

• Annual subscription plans are billed yearly and can be canceled at any time
• Flexible plans allow you to upgrade or downgrade whenever you need
• Subscription fees are charged in advance for each billing period

Single Form Purchases

• Single form purchases are billed once and remain active for 30 days
• Forms can be extended or renewed as needed

Payment Processing and Invoicing

• Payment processing is handled securely through Stripe
• Tax invoices are issued for all transactions
• We reserve the right to change pricing with 30 days advance notice

Refund Policy

• We offer a 14-day refund policy if the product has not been used within this period
• Once you have created and published a form or used any service features, the purchase is considered used and is non-refundable
• To request a refund, contact us through our contact page within the 14-day period

7. Data Ownership and Retention

You retain ownership of all data you submit to the Service, including rental forms and applicant information. When you delete a form:

• Forms are soft-deleted and hidden from your dashboard
• Data is retained internally for audit, support, and compliance purposes
• You may request permanent deletion by contacting our support team

8. Limitation of Liability

To the maximum extent permitted by law, RentForms and its affiliates shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits or revenues, whether incurred directly or indirectly, or any loss of data, use, goodwill, or other intangible losses resulting from your use of the Service.

9. Changes to Terms

We reserve the right to modify these Terms at any time. If we make material changes, we will notify you by email or through a notice on our Service. Your continued use of the Service after such modifications constitutes your acceptance of the updated Terms.
